How should a planner set up rides for the couple, the wedding party, and the guests?
Most Las Vegas weddings need three different rides: the couple, the wedding party, and a guest shuttle loop between the hotel block and the venue. They run on different schedules, so we quote them as separate runs and match each one to the right vehicle. A limo for the couple, the 20-passenger party bus for the wedding party, a coach for a big guest list.
How we plan it with you
Write each run like a dispatcher would read it
For every ride, give us the pickup address, the loading time, the departure time, the destination, the headcount, and one onsite contact. 'Pick up at Caesars' is not enough; 'Caesars Palace, Forum Tower entrance, load 3:15, leave 3:30, 18 people, Maria 702-xxx' is.
Most wedding dates we quote are Friday or Saturday, so lock the Saturday early and put the timeline in writing.
Build the guest shuttle as a loop, not a single trip
Guests do not all leave the hotel at the same time. For a reception at Lake Las Vegas, Red Rock Country Club, or a ballroom across the Strip, plan a loop: first departure 60 minutes before the ceremony, a second 30 minutes before, and return waves after dinner and after the last dance.
A 56-passenger coach makes fewer trips; two 20-passenger party buses make more frequent ones. Tell us the guest count and how spread out the hotel block is and we will recommend the mix.
Give us one person who can say yes
The couple should never answer a loading question during portraits. Name one person who owns each group and one person who can approve a timeline change or add an hour on the spot. Give us those numbers before the wedding day.
Decide the fallback now: what happens if a guest misses the last shuttle, if the venue moves the pickup point, or if the reception runs over. We can add hours; you just need someone empowered to say so.
